Naming Folders and Files

Special Note: when revising designs, save the revision as _v2, _v3, etc. Do not save over the original design.

Clients Shared Drive

Here are the rules for naming folders and files in the Clients shared drive.

  1. Each folder begins with the client’s initials.
  2. Starting at the client’s main folder, the first sub-folder will add the name of the deliverable type such as “Emails” or “Listings” or “Postcards”.
  3. The second sub-folder will add the year.
  4. The third sub-folder will add the month.
  5. The fourth sub-folder will add the project name from ProcessKit.
  6. Inside the fourth folder, you will add the file.

Each new sub-folder name adds on from the last sub-folder name with an underscore in between, with the exception of the year-month. We always use a hyphen between the year-month.

For example: if we are creating a postcard for Cody Martens and it is July 2020 and the ProcessKit project is named “1234 – Summer BBQ”, then the folder structure would look like this:

Cody Martens > CM_Postcards > CM_Postcards_2020 > CM_Postcards_2020-07 > CM_Postcards_2020-07_1234 – Summer BBQ

The filename would be:

CM_Postcards_2020-07_1234 – Summer BBQ

Bright Design Requests - Listings

All listing marketing is kept in a special “Listings” folder for each client, regardless of the deliverable type. So, the folder structure is a little bit different.

  1. Starting with the client’s “Listings” folder, the first sub-folder will add the year.
  2. The second sub-folder will add the month.
  3. The third sub-folder will add the project name from ProcessKit.
  4. Inside the third sub-folder, you will add the file.

For example: if we are creating a just sold postcard for Cody Martens and it is July 2020 and the address in ProcessKit is “1234 – 8803 N Lombard St”, then the folder structure would look like this:

Cody Martens > CM_Listings > CM_Listings_2020 > CM_Listings_2020-07 > CM_Listings_2020-07_1234 – 8803 N Lombard St

For listings, you’ll add the category of the project from ProcessKit. Using the same above example, the filename would be:

CM_Listings_2020-07_1234 – 8803 N Lombard St_Just Listed

Product Illuminate Shared Drive

Here are the rules for naming folders and files in the Product Illuminate shared drive.

  1. Each folder begins with the market’s abbreviation.
    1. Cobb GA – CGA
    2. Mortgage – MTG
    3. Orange County – OCC
    4. Portland – PDX
    5. Salt Lake City – SLC
    6. Vancouver – VAN
  2. Starting at the market’s folder, the first sub-folder will add the name of the deliverable type from ProcessKit or Airtable, such as “Blogs/Emails” or “Postcards” or “Social”.
  3. The second sub-folder will add the year.
  4. The third sub-folder will add the month.
  5. The fourth sub-folder will add the project name from ProcessKit.
  6. Inside the fourth folder, you will add the file.
